Community Café Administrator
Summary
The Cafe Administrator performs a varied and active role within this community enterprise. The successful applicant will work alongside the existing Café Manager and be responsible for the “behind the scenes” administration of the café – with particular emphasis on rota management and communications. In addition, some support running café sessions will be required. Sound organisational skills are essential, combined with flexibility and enthusiasm.
About the Café
Marcham Community Café was established in April 2020 with the aim of providing a welcoming space for the local Marcham community to meet. It currently runs café sessions between 9 and 11.30 am on a Wednesday and Saturday morning at the Marcham Centre (apart from in August when the café takes a break).
The café is a non-profit organisation which serves good quality food and drink at affordable prices and offers rewarding volunteering opportunities. Any profits made are re-invested in the Marcham community. The Café is run by a Management Committee, elected from amongst the members. It currently employs a part-time Café Manager. The café also arranges catering for various ad-hoc events to support the community and raise additional funds.
Hours of Work and Rates of Pay
Working hours are negotiable – acknowledging that some tasks need to be completed within the opening hours of the café (which potentially include weekends and bank holidays).
About the Job - Key Responsibilities
1. Café Administration
- Prepare café rota and liaise with volunteers, ensuring the café is staffed and open at all publicised opening times (includes arranging for prep and cleaning to be covered). This will include ownership of the “3 Rings” system used to manage volunteer shifts.
- Assist in the recruitment and training of volunteers
- Liaise with the Marcham Community Group (MCG - who manage the Marcham Centre) to arrange bookings for café sessions
- Monitor and respond to emails (in conjunction with Café Manager)
- Take ownership of the Cafe’s online presence – including website, FB messenger and social media accounts
- Compile routine communications, including a monthly volunteers update and quarterly members bulletin
- Provide administrative support with any ad-hoc events, ensuring prompt raising of invoices
- Provide administrative support for monthly Management Committee meetings; prepare the agenda, take minutes and manage the action log
- Provide other general administrative support, as requested by the Management Committee
2. Support running Café sessions
- Take orders, interact with customers, ensure prompt, friendly service
- Preparation of hot and cold food and drinks, including operation of coffee machine and ensuring attractive display of food for sale
- Follow all café procedures to ensure food hygiene and safe working practices. We will train you to obtain your Level 2 Award in Food Safety for Catering (if qualification not already held)
About You
Skills and Experience
- Good literacy and numeracy skills
- Ability to work with appropriate accuracy and attention to detail, with a reliable and consistent approach to task management
- Good IT skills for rotas, emails etc. Confident with inter-based technologies and social media
- Ability to work unsupervised on delegated and scheduled tasks
- Previous experience of administration in a small business / small charity environment would be an advantage

- A good team player who enjoys interacting with a wide range of people and who will communicate effectively with our volunteers
- Willing to come up with and implement new ideas to grow the business and serve our community to the best of their ability
